Position Details

  • Position Title: Customized Programs Coordinator
  • Location: Barcelona and Surroundings
  • Position Type: Full-Time, 38 Hours/Week
  • Anticipated Dates: ASAP
  • Type of Contract: Indefinite Contract

The Customized Programs Coordinator will assist with planning and leading a variety of educational exchange groups led by their home university professor. Each program includes classes, excursions, company visits, guest speakers, and cultural activities to explore Barcelona and Spain through a lens related to their area of study. Tasks include creating itineraries, budgeting, planning and executing the program onsite. People skills, a high level of organization, quick problem-solving, a knowledge of the city and an outgoing, friendly attitude are a must!

Required Qualifications & Skills

          • Bachelor’s degree or equivalent experience/knowledge
          • 1+ years of previous professional work experience preferably in areas of event planning, study abroad or tourism
          • Experience managing groups and in customer service
          • Strong computer skills (Google Workspace, Excel, Word, PowerPoint)
          • Ability to manage budgets (tracking and estimated spending)
          • Problem-solver, well-organized, attention to detail
          • Ability to multitask and thrive in a fast-paced environment
          • Ability to strategize, anticipate, and take initiative
          • Flexibility of schedule, ability to work some weekends and evenings
          • Excellent written, verbal and interpersonal communication skills in Spanish and English, some level of Catalan is a bonus
          • Team player
          • Interest in working with college students in an international environment
          • Excellent knowledge of Barcelona
          • Cultural fit with Barcelona SAE’s vision, mission and core values

          Job Responsibilities

          As a Customized Programs Coordinator, you will be in charge of:

          • Creating program proposals for US schools
          • Managing programs from start to finish including planning logistical aspects of the program such as transportation, excursions and tours, group meals, and accommodation
          • Providing top customer care for universities, students and faculty
          • Running training sessions for faculty and group leaders prior to programs
          • Converting Customized Programs leads into confirmed and running programs
          • Public speaking, such as leading in-country orientations for arriving participants
          • Creating budgets and then managing group funds, payments and receipts
          • Traveling with group to excursions and events
          • Serving in an on-call capacity to provide full program support, facilitating emergency protocol if necessary
          • Solving problems quickly and maintaining a positive and flexible experience for clients
          • Other tasks and projects as needed

          Other Tasks:

          • Emergency phone rotation and attending to emergencies as needed
          • Mentoring students on our programs
          • Leading cultural activities (inside and outside of Barcelona) and engaging with participants
          • Flexibility to work in other departments and tasks when needed
